The Executive Assistant to the CEO will provide high-level administrative support to the CEO, ensuring that the CEO’s time is maximized, and that the office runs smoothly. The ideal candidate will be proactive, highly organized, and capable of managing a wide range of administrative and executive tasks. This role requires a high level of confidentiality, discretion, and professionalism.

Key Responsibilities:
- Calendar Management: Coordinate and manage the CEO’s schedule, including meetings, appointments, and travel arrangements. Prioritize and organize daily activities to ensure efficient use of time.
- Communication: Act as the primary point of contact between the CEO and internal/external stakeholders. Draft and manage correspondence, including emails, letters, and reports.
- Meeting Coordination: Arrange and prepare for meetings, including agendas, materials, and follow-up actions. Attend meetings as needed and take detailed minutes.
- Travel Arrangements: Plan and coordinate travel itineraries, including flights, accommodations, and ground transportation. Prepare travel expense reports and manage travel-related logistics.
- Project Support: Assist with special projects, research, and data collection as directed by the CEO. Prepare presentations and reports for internal and external meetings.
- Office Management: Oversee office supplies, equipment maintenance, and ensure the CEO’s office is organized and functional. Manage confidential documents and maintain filing systems.
- Stakeholder Liaison: Coordinate with senior management, board members, and other key stakeholders to facilitate communication and ensure follow-up on action items.
- Personal Assistance: Provide personal support to the CEO as needed, including handling personal appointments and errands.
Qualifications:
- Education: Bachelor’s degree in Business Administration, Management, or a related field preferred.
- Experience: Minimum of 3 years of experience in an executive assistant or similar administrative role, preferably supporting senior executives.
- Skills:
- Exceptional organizational and time-management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Strong written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Excellent problem-solving and multitasking abilities.
- High attention to detail and accuracy.
- Proven ability to work independently and as part of a team.
