
As the Programs Administrator (Complex), you will play a key role in supporting service users with complex needs. You’ll coordinate services, assist with care planning, and ensure quality, consistent support in line with client goals and funding requirements.
This is a diverse, meaningful role where no two days are the same. You will work collaboratively across departments to ensure service users receive the highest standard of care. Step into a temporary role with the potential to grow into a permanent position.
Key Responsibilities:
- Process referrals and complete intake process for new complex service users.
- Assist in care plan and service agreement development
- Support and ensure program compliance and quality assurance
- Coordinate service delivery and training requirements for support staff
- Maintain ‘Register of Complex Service Users’ with accurate records and documentation
- Monitor and report any backlogs and non-compliance on the register monthly
- Monitor funding usage and assist service users to optimise it
- Manage support worker compliance
- Liaise with internal teams to ensure accurate roster records & invoicing
- Conduct regular service user reviews and risk assessments for goal alignment
- Review (with clinical educator & Sr Programs Admin), make recommendations and implement on care plan, medication plan, training requirements etc
- Assist internal teams (eg rostering) to set up and maintain ongoing high-quality supports
- Liaise with stakeholders including allied health professionals, families, and internal teams to achieve client goals

- Understanding of NDIS, HCP, TAC, and/or Workers Compensation programs
- Mandatory Documents : Valid & Current Police Check, WWCC, NDIS Screening Check, 3xCovid vaccinations, Annual Flu Vaccination
Preferred Experience
- Prior experience in a similar administrative or programs support role
- Experience in manging & monitoring budgets, contracts, and reporting.
- Knowledge of relevant care standards and compliance frameworks
- Experience working with people with disability, aged care, or complex care needs
